Privacy Policy

1. Introduction

SailFuture Academy, operated by SailFuture, Inc. (“SailFuture Academy,” “SailFuture,” “we,” “our,” or “us”), provides the SailFuture Academy Senior Dashboard available at https://seniors.sailfutureacademy.org (the “Dashboard”).

The Dashboard is an educational platform intended to help authorized SailFuture Academy students and staff access, manage, and review information related to senior-year requirements, academic progress, projects, graduation preparation, and other school activities.

This Privacy Policy explains what information we collect through the Dashboard, how we use it, when we disclose it, and the choices available to students and parents or legal guardians.

2. Information We Collect

A. Google account information

Students may sign in using a SailFuture-issued Google Workspace account. When a user signs in with Google, we may receive:

  • Full name
  • SailFuture email address
  • Google account identifier
  • Profile photograph, when available
  • Basic authentication information confirming that the account was successfully authenticated

The Dashboard does not access or read a user’s:

  • Gmail messages
  • Google Drive files
  • Google Calendar
  • Google Contacts
  • Google account password

We will update this Privacy Policy before requesting access to additional Google account information.

B. Student and educational information

Depending on the Dashboard features used, we may collect or maintain:

  • Student name and school email address
  • Student identification information
  • Grade level, graduation year, crew, program, or cohort
  • Graduation-requirement status
  • Course, project, internship, externship, apprenticeship, or assessment progress
  • Assignments, documents, written responses, project submissions, or portfolio materials
  • Goals, reflections, notes, comments, or feedback
  • Completion dates, deadlines, approvals, and status updates
  • Communications submitted through the Dashboard

Some of this information may form part of a student’s educational records.

C. Technical and usage information

We may automatically collect limited technical information necessary to operate and secure the Dashboard, including:

  • Internet Protocol address
  • Browser and device type
  • Operating system
  • Login dates and times
  • Pages or features accessed
  • Session and security logs
  • Error and diagnostic information

D. Communications

When a student, parent, guardian, or staff member contacts us for support, we may collect the sender’s name, contact information, message, and any information included with the request.

3. How We Use Information

We use information collected through the Dashboard to:

  • Authenticate users and maintain secure accounts
  • Confirm that users are authorized SailFuture Academy students or staff
  • Provide and operate the Dashboard
  • Display and manage student progress and graduation requirements
  • Review projects, assignments, and student submissions
  • Provide educational feedback and support
  • Communicate about deadlines, requirements, and school activities
  • Maintain accurate school and administrative records
  • Detect unauthorized access, fraud, misuse, or security incidents
  • Diagnose technical problems and improve Dashboard performance
  • Comply with applicable legal, regulatory, safety, and recordkeeping obligations

We do not use student information for targeted advertising, unrelated marketing, or commercial profiling.

4. Google API Data

The Dashboard uses Google authentication to allow authorized users to sign in with their SailFuture Google Workspace accounts.

Information received from Google is used only to:

  • Authenticate the user
  • Create or connect the user’s Dashboard account
  • Display basic account information
  • Confirm that the user is authorized to access the Dashboard
  • Protect the security of the Dashboard

SailFuture Academy’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

We do not sell Google user data or use it for advertising.

5. Cookies and Similar Technologies

The Dashboard may use essential cookies, local storage, and similar technologies to:

  • Keep users signed in
  • Maintain secure sessions
  • Remember necessary Dashboard settings
  • Prevent fraud and unauthorized access
  • Support basic Dashboard functionality

These technologies are not intended to create advertising profiles or track students across unrelated websites.

Users who block essential cookies may be unable to sign in or use parts of the Dashboard.

6. How We Disclose Information

We may disclose information in the following limited circumstances.

A. Authorized school personnel

Student information may be available to SailFuture Academy teachers, administrators, counselors, program staff, and other authorized personnel who have a legitimate school or educational need to access it.

B. Service providers

We may use trusted service providers to operate the Dashboard, including:

  • Clerk, for authentication and account management
  • Google, for Google Workspace authentication
  • Website hosting, database, infrastructure, security, and technical-support providers

These providers may process information only as necessary to provide services to SailFuture Academy and subject to their contractual and legal obligations.

C. Legal and safety reasons

We may disclose information when reasonably necessary to:

  • Comply with applicable law, regulation, court order, or legal process
  • Protect the safety of a student or another person
  • Investigate suspected fraud, misuse, abuse, or security incidents
  • Protect the rights, property, systems, and operations of SailFuture Academy
  • Cooperate with authorized school, child-welfare, emergency, or law-enforcement personnel when legally permitted or required

D. Organizational changes

If SailFuture undergoes a merger, restructuring, or transfer of operations, information may be transferred as part of that transaction, subject to continued privacy protections and applicable law.

7. No Sale or Advertising Use

SailFuture Academy does not:

  • Sell student personal information
  • Rent student personal information
  • Use student information for targeted advertising
  • Build commercial advertising profiles about students
  • Allow third parties to use Dashboard information for unrelated commercial purposes

8. Student Records and Privacy Rights

Student information may be protected by applicable federal or state student-record laws, school policies, and contractual obligations.

To the extent the Family Educational Rights and Privacy Act applies, eligible parents, legal guardians, and students may have rights concerning access to, correction of, and disclosure of education records.

Requests involving student records should be submitted using the contact information at the end of this policy. We may need to verify the requester’s identity and authority before releasing or changing information.

Some records cannot be deleted when SailFuture Academy is required to retain them for academic, accreditation, administrative, legal, safety, or regulatory purposes.

9. Children Under 13

The Dashboard is intended for authorized SailFuture Academy students and staff and is used solely for school-authorized educational purposes.

A student under 13 may use the Dashboard only when access has been appropriately authorized by SailFuture Academy and, where required, the student’s parent or legal guardian.

Information collected from a student under 13 will not be used for targeted advertising or an unrelated commercial purpose. Parents and legal guardians may contact us to request information about the data collected from their child and, subject to applicable educational and recordkeeping requirements, request correction or deletion.

10. Data Retention

We retain information only for as long as reasonably necessary to:

  • Provide the Dashboard
  • Maintain student educational and administrative records
  • Document completion of graduation and academic requirements
  • Meet accreditation, legal, contractual, or regulatory obligations
  • Resolve disputes and enforce school policies
  • Protect the security and integrity of our systems

Authentication accounts and technical logs may be deleted or deactivated when they are no longer needed. Educational records may be retained longer in accordance with school record-retention practices and applicable law.

11. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, disclosure, alteration, and destruction.

These safeguards may include access controls, authenticated accounts, encrypted network connections, logging, restricted staff access, and security monitoring.

No online service or storage system can be guaranteed to be completely secure. Users should protect their Google Workspace credentials and immediately report suspected unauthorized access.

12. Account Deactivation and Data Requests

Students, parents, or legal guardians may contact SailFuture Academy to:

  • Request access to personal information
  • Request correction of inaccurate information
  • Ask questions about how information is used
  • Report a privacy or security concern
  • Request account deactivation
  • Request deletion of information that SailFuture is not required or permitted to retain

A Dashboard account may also be deactivated when a student graduates, withdraws, is no longer enrolled, or is no longer authorized to use the Dashboard.

13. Third-Party Websites

The Dashboard may contain links to websites or services that are not controlled by SailFuture Academy. This Privacy Policy does not govern independent third-party websites. Users should review the privacy policies of those services before submitting personal information.

14. Changes to This Privacy Policy

We may update this Privacy Policy when the Dashboard, our practices, or applicable requirements change.

The updated policy will be posted on this page with a revised effective date. When a change materially affects how student information is collected, used, or disclosed, we will provide additional notice when appropriate.
